Project Approach, Page 7 <br />Project Approach - Section 3 <br />Phase 3 – Community Engagement <br />Task 1 – Community Engagement Plan <br />This task will be of paramount importance and it will be necessary to engage the community early and <br />often. Following the kick-off meeting, a written Community Engagement Plan will be prepared to <br />identify community engagement and communication goals for the project. The written Communication <br />Engagement Plan will: <br />Define the communication and public engagement goals <br />Identify community engagement techniques and frequencies <br />Establish metrics for evaluating the effectiveness of the Community Engagement Plan <br />Establish methods to ensure documentation of community input and project team response <br />Identify community partners <br />Task 2 - Project Updates and Short Shots <br />This task consist of providing brief project updates throughout the project, social media content and <br />digital images. Provide easy to read, graphical content that is understandable to the general public. <br />Prepare written content in Associated Press style with plain language. It is anticipated that this task will <br />utilize a sub-consultant that specializes in digital media and public outreach. <br />Task 3 - Yale Street Extension Community Engagement <br />It is anticipated that the Yale Street extension will require an additional, personal effort. Our community <br />engagement plan will include personal meetings/site visits with the Yale Street property owners and/or <br />business operators to explain the project and encourage early input. We will communicate project <br />elements honestly and will diligently listen and document any concerns such that they can be evaluated. <br />We will provide open access to the decision making process early in the design process to build a <br />foundation of trust. <br />We anticipate a significant effort for this task, which may include up to 3 meetings with each of the <br />property owners and/or business operators in efforts of garnering their support for the project. <br />Task 4 – Create a Project Web Page or Social Media Page <br />Create either a project web page, Facebook page, or Twitter page for the project. Develop easy to read <br />graphics and post relevant project updates on a regular basis. It is anticipated that this task will utilize a <br />sub-consultant that specializes in digital marketing. <br />Phase 4 – Surveys and Right-of-Way Mapping <br />Task 1 – Project Notification Letter <br />Prepare and mail notice to all affected parcels prior to start of field survey. Meet or discuss project with <br />property owners and/or business operators as requested and identified above. <br />Task 2 – Order Owner and Encumbrance Reports <br />Define the parcels that are anticipated to be impacted by the project. Order O & E reports for the affected <br />parcels.
