All communications sent by employees over the Utilities' ECS must be respectful in tone <br /> and professional. Communications over the Utilities' ECS may not be used for <br /> transmitting, retrieving or storing any communications of a discriminatory or harassing <br /> nature, derogatory to an individual or group, obscene, or which are of a defamatory or <br /> threatening nature. Such communications should not be used for "chain letters" or for <br /> any purpose which is illegal or against Utilities policy. <br /> Employees must respect other people's electronic communications. Employees may not <br /> obtain unauthorized access to another's e-mail or voice-mail messages, except pursuant <br /> to direction from a Utilities manager for the purposes specified above. <br /> Employees may not use the e-mail or voice-mail systems in a way that causes congestion <br /> on the systems or that significantly interferes with another employee's ability to use the <br /> systems. <br /> GENERAL GUIDELINES APPLICABLE TO ELECTRONIC <br /> COMMUNICATIONS, INCLUDING COMMUNICATIONS OVER <br /> SOCIAL MEDIA <br /> • In general, the Utilities encourages the use of e-mail and other <br /> available electronic communications with residents, consultants, and <br /> others as a means of providing services more effectively and <br /> efficiently. Internet e-mail is provided and is intended for the <br /> Utilities' business use. <br /> • Tact counts. <br /> • Humor might not work. Attempts at humor in electronic <br /> communications are especially difficult to carry off successfully, so be <br /> careful and "when in doubt, leave it out." Take extra steps to make <br /> your intent clear in written communications. <br /> • Never gossip, don't provide confidential personal information about <br /> yourself or someone else, and refrain from emotional responses. <br /> • Do not communicate with residents, consultants or others using e-mail <br /> without first obtaining their consent to email communication. <br /> Employees at all times must use discretion in communicating sensitive <br /> information and should select communications methods that will <br /> protect the confidential and/or sensitive nature of such information. <br /> • Communications over the Utilities' ECS may be identifiable and <br /> attributable to the Utilities, as if an employee was sending a letter on . <br /> Do not send electronic communications that you would not send, or <br /> would not be authorized to send, over Utilities letterhead. <br /> • The Utilities' ECS may not be used to participate in social media or <br /> other electronic forums except for approved Utilities business, <br /> professional development, or business development purposes. <br /> 12 <br /> October 2011 <br /> Aria <br /> • <br />
