<br /> <br /> <br />Request for Action <br /> <br /> <br /> <br />To Item Number <br />Mayor and City Council 8.1 <br />Agenda Section Meeting Date Prepared by <br />General Business March 16, 2020 Michael Hecker, Parks and Recreation Director <br />Item Description Reviewed by <br />Woodland Trails Regional Park Nature Play and Cal Portner, City Administrator <br />Shelter construction project <br />Reviewed by <br /> <br /> <br />Action Requested <br />Award, by motion, the contract of the Woodland Trails Regional Park Nature Play and Shelter <br />construction project to Odessa II for the base bid and alternate #1 for a total amount of $351,605 and <br />the purchase of the Chelsea Style shelter from Northland Recreation for $61,067. <br /> <br />Background/Discussion <br />On January 6, 2020, the City Council approved the final designs and bid documents for the Woodland Trails <br />Regional Park (WTRP) Nature Play and Shelter Project. Four Bids were received at closing on March 5. The <br />bid tabulation was completed by WSB. Alternate #1 includes the bituminous trails and concrete pads. <br /> <br />The shelter will be purchased through the Sourcewell public purchase cooperative in accordance with state <br />procurement laws. The shelter meets the branding and standardization as directed by City Council. It also <br />includes the lighting and buffet shelf recommended by the WTRP Committee. <br /> <br />WSB was hired for this project in December of 2018. They started working with staff and the WTRP <br />Committee through winter 2018-19 to plan the nature play area and picnic shelter. Although several <br />meetings were held the past year to discuss various aspects of this project, the Committee and the Parks and <br />Recreation Commission were unanimous regarding the nature play designs. <br /> <br />Financial Impact <br />The recommended contract total is $351,605. Two base bid items will be done in-house, exporting excess <br />soil and restoration work resulting in a contract deduction of $48,500. The contract will be amended <br />through a change order for a total contract of $303,105.
