MEMORANDUM

Item 5.7.

TO:

FROM:

DATE:

SUBJECT:

Mayor and Council

Pat Klaers, City Administ~~
March 22, 2004

City Hall Remodeling Project and Office Relocation Update

The relocation of city offices is on schedule. The furniture movers are planning to be on site
next week. Furniture will be stored in the garages early in the week. The breakdown of our
current work spaces will begin in earnest during the afternoon of Thursday, March 25, 2004.
Earlier in the week staff ',viii be putting in some extra hours after work in order to move
personal items from their offices. City Hall will be closed on Friday, March 26, 2004. The
furniture movers do not want any employees on site that they have to work around. The
office set up should be completed early on Monday, March 29, 2004 but we will not be
totally open and ready for business right away in the morning.

I talked to Fire Chief Bruce West and Building Inspectors Terry Zajac and Denny Anderson,
and I understand that the final tests at the remodeled City Hall facility are going well and that
the building is passing its major health and safety tests. These tests include sprinkler system,
alarm system, electric, gas, plumbing, and general building requirements. There are some
minor things that still need to be corrected but everything should be ready by the end of the
week to be certified for the city to obtain an occupancy permit. At the end we will still have
some typical clean up type of issues and some minor corrections but nothing of significance
is anticipated. Under ideal conditions the facility would be completely vacant of any workers
and the facility would be perfecdy clean for the furniture movers, but this is not likely to
happen as they will be doing such things as painting touch up and cleaning at the end.
Additionally, the City Council room and the Wellness room are not scheduled for
completion until early April.

I would like to take this opportunity to thank all of the city office employees for their
patience during the past nme months and to thank Finance Director Lori Johnson for all of
her work in coordinating this remodeling project. The office environment at the Utilities has
been fight and not necessarily the best work environment but I still believe that it has been a
better alternative than having city staff move offsite for business or having the remodeling
project completed around us (i.e. remodel the Police Station, have staff move to the Police

S: \ CouncilNPat\ 2004~RemodelUpdate032204.doc
