TO:

FROM:

DATE:

SUBJECT:

MEMORANDUM

Mayor and City Council

Pat Klaers, City Administrator

January 20, 2004

Update on City Hall Remodeling Project

Item ~ 4.5.

At the last City Council meeting on January 12, 2004, I indicated to the City Council that an update
on the schedule of the city haH/police station remodeling project would be provided at this
January 20, 2004 meeting. For the last slx to eight weeks the construction management firm has
been trying to accelerate the completion schedule. Originally the construction manager hoped that
the project would be completed by the beginning of 2004. This proposal ran into immediate
problems when a number of contractors indicated that their work could not be completed in that
timeframe. Subsequently, the construction manager attempted to set up a completion schedule to
accommodate a mid-February move in by city staff. Unfortunately, this timetable also cannot be
met. It has proved to be very difficult to coordinate all the contractors and to get everyone to
cooperate with an accelerated completion schedule. The end result is that we are now planning on
the original completion date for the remodeling project as outlined in the June 2002 plans and
specifications for the project. The schedule (see attachment) in this document stated that the city
hall renovation project would have the punch list completed in early March and that the owners
would move into the remodeled city hall at the end of March/f~rst of April. This is the schedule that
the contractors used to develop their bid proposals and the one which ultimately everyone is going
to live with and follow.

I would like to emphasize to the City Council that the project is not behind schedule, it simply could
not be accelerated. An additional update will be provided to the City Council next month and
sometime in late February or early March I ,,viii request that the City Council take formal action to
close city hall for one business day to accommodate the office relocation back into the remodeled
city hall.

S:\CouncilNPatN2004\rernodelupdate.doc
