One option was to use the phone system we currently have with its <br />integral recording capabilities. The Commission directed staff to bring back further analysis of <br />this option and additional associated cost back at the March Commission meeting. <br />The Inter-Tel phone system we use has the ability to manually record a phone conversation at <br />anytime. The recording is saved as a voicemail. The voicemails can then be converted to an <br />email and stored electronically. This process is limited by some licensed software. ERMU has 1 <br />license to do this conversion now. So, currently we have the ability to forward any voicemail to <br />the phone with this license and convert it to an email. The City has 5 licensed seats including the <br />1 we are already using. In discussions with Bob Pearson, City IT, there shouldn't be an issue <br />with using addition 1 or 2 licensed seats for the voicemail to email conversion. Bob is in the <br />process of getting quotes on adding addition seats and on the costs of adding addition email <br />storage. <br />The recording capability and conversion process has been tested on our phone system in both the <br />office and at the plant. This option works well for our current needs without any addition cost. <br />Staff recommends using the system we have and readdressing the issue at some future date if we <br />out grow the capabilities of this system. <br />
