Beahen, Chief of Police <br />Reviewed by <br />Lori ohnson, Ci Administrator <br /> <br />Introduction <br />Last year, the police department presented to Council our Mobile Software Implementation request, <br />which was approved as part of our 2007 budget. The initial phase of that project was undertaken and the <br />mobile portion of the new system is installed and operational. We are now ready to transition to the <br />records portion of the new software and are asking permission to upgrade our records management <br />system. <br /> <br />Discussion <br />The police department is requesting to upgrade the current records system to complete the automation of <br />our records process. The purchase and installation of the LETG records system will provide the police <br />department with an automated process that eliminates most of our redundant data entry tasks. This is <br />accomplished by electronically transmitting our reports, citations, accident reports and other data direcily <br />from the squad computer to our main records system. It also provides us with automated case <br />dispositions and records interface, something that is now done by hand, and a task that is very time- <br />consuming and labor intensive. <br /> <br />Records staff, who currenily spend the majority of their time doing the data entry, will be given new tasks <br />to complete. Some of these tasks will include: <br /> <br />. Data entry review-insuring accuracy and compliance with court and legal requirements. <br />. Crime analysis-using the data to predict crimes and crime patterns. <br />. Using data analysis information to help coordinate programs with crime prevention specialist <br />to educate community on specific crime concerns. <br />. Assist with property room tasks, such as filing of evidence, case disposals and evidence <br />purging, and audits of property containing in the evidence area. <br />. More current transcription duties-we are sometimes over a week delayed in completing <br />transcription assignments. <br /> <br />In addition to the time savings seen here at our department, the implementation of the records upgrade <br />will impact a multitude of othcr governmental agencies, who will also avoid the duel data entry process <br />that occurs when we take reports. <br /> <br />Other agencies impacted who will see savings include the following: <br /> <br />S:\Council\Police\LETG Proposal to CounciLdoc <br />
