Elk River <br /> Municipal Utilities UTILITIES COMMISSION MEETING <br /> TO: FROM: <br /> ERMU Commission Michelle Canterbury—Executive Administrative Manager <br /> MEETING DATE: AGENDA ITEM NUMBER: <br /> December 14, 2021 6.1f <br /> SUBJECT: <br /> Staff Update <br /> ACTION REQUESTED: <br /> None <br /> DISCUSSION: <br /> • The 2022 Energy Efficient Appliance Rebates and 2022 LED Light Rebate Coupons will be <br /> going out to customers with the December bills. Attached are copies of the two bill <br /> inserts. <br /> • November and December social media posts will feature a variety of topics including: <br /> how to avoid utility scammers, setting your workplace thermostat at the optimal level <br /> for energy efficiency and staff productivity, energy efficient appliance rebates, and <br /> several public service announcements such as dates of upcoming commission meetings, <br /> holiday business closures, and trash pickup delays. <br /> • Staff has had numerous conversations and brainstorming sessions regarding our <br /> communication plan for the 2022 rates. As accurate and timely information is of utmost <br /> importance, we will be waiting until after the Board of Directors at the Minnesota <br /> Municipal Power Agency approves the 2022 rates at their December 21 meeting. As <br /> requested, a draft of the message to our customers regarding the rate increase, PCA's, <br /> etc. will be provided to the commissioners prior to sending it out. <br /> • The administration department continues to work on our records management project <br /> as time permits. A meeting was held in November with the records coordinators who <br /> are responsible for implementing the records management programs for their <br /> departments. An updated 2021 State Record Retention Schedule for Minnesota Cities <br /> was distributed, and the group also reviewed records retention guidelines for email. <br /> • One of the main initiatives for the communications department this past month has <br /> been helping customers understand not only the details of our Field Services Facility <br /> Expansion but the reasoning and timing for the project. Staff worked with multiple <br /> departments to create four key points that explain to the public what's happening, why <br /> it's happening, and why it's happening now.
