Item 2.0

MEMORANDUM

TO:

Mayor and City Council

FROM:

Pat Klaers, City Adrl}if.i1.M. ator
fJf;(W~
March 28, 2005

DATE:

SUBJECT:

2004 Annual Report Presentation

The annual report for all city departments is scheduled for Monday, March 28, 2005 at
6:00 p.m. Most city department heads and some division heads will be in attendance to make
presentations on 2004 departmental accomplishments and 2005 goals and activities.

The annual report document was distributed to the City Council with the March 14 agenda
packet. The approximately 28-minute city video, which highlights 2004 accomplishments, is
attached to this memo.

The city video will be shown at the beginning of the City Council meeting so that the public
watching the meeting live will see what is being discussed when a reference is made to the
video. After the video, the presentations from the department heads will take place. The
presentations have been divided into five different city functions. A question/answer session
with the City Council will follow after each of the five presentations.

Timing is always an issue with the annual report meeting. Everyone is in agreement that the
annual report should not be broken out into two different meetings but the fact is that there
is a great deal of activity going on in the city and numerous topics could generate a lot of
discussion. In this regard, a balance is necessary between providing important information to
the Council and the public without getting into so much detail that it becomes a "marathon"
type meeting. In spite of being very proud of 2004 accomplishments, what the staff really
wants is to get City Council feedback on 2005 projects, plans, and goals.

The annual report is available on the web site and at City Hall.

s: \ Council \Pat\2005\APPresentation.doc
