A committee was formed
comprised of Sandy Thackeray, Joan Frick, Kathy Anderson, and
Tom Zerwas. The open house for the new facility will be a
once-in-a-life time event for most of us and is a big deal and
we want to treat it as such.

e

The proposed date for the open house is Saturday, September 11,
1993. The tentative time is from 1 to 5 p.m. The Police
Department will be inviting law enforcement personnel from
neighboring communities to see the Police facility on Friday,
September 10, 1993. Discussion is continuing about combining
the City Hall open house with the September 11 Fire Department
open house, which takes place every year. If a combined open
house does not technically happen, we can at least promote each
other and encourage visitors to see the other facility when
they tour the facility.

It is planned to have a promotional brochure put together and
we will also have a floor plan map available to assist on the
tours. The proposed tours could best be described as
"structured" rather than random or free flowing. It is
anticipated that most City employees will be available to visit
with the public about the facility and their work spaces.
Following the tour, there will be some food and drink available
in the garage or outside of the facility. The food and
beverage will definitely be available in the garage if it rains
(very likely). Also, we will be providing a novelty gift for
the people going through the tour. At this time, the gifts
being discussed to memorialize the open house event are cups
and sport sippers with the City of Elk River logo and dates on
it. We will be sending out invitations and we expect somewhere
around 1,000 people to attend. We will be spending under
$5,000 for this project and hopefully, can have the expenses
come in under $4,000.

e

Once again, this is a very important event for the City and
this may be the only time some of our citizens see the new
facility. We will want to make sure that they are impressed
and that they remember positive things about the City after
taking the tour.

P.O.
