<br /> <br />ITEM 5.4. <br /> <br />TO: MAYOR AND CITY COUNCIL <br /> <br />FROM: SANDRA THACKERAY, CITY CLERK <br /> <br />DATE: APRIL 1, 1993 <br /> <br />SUBJECT: FACSIMILE PURCHASE <br /> <br />The Police Department and City Administration have both <br />budgeted for the purchase of a facsimile machine. City <br />Administration and the Police Department have been sharing the <br />use of the existing fax machine located in the Administration <br />Office. <br /> <br />Because of the number of faxes sent and received on a daily <br />basis, and the amount of confidential information the Police <br />Department deals with, it is important to have a fax machine at <br />both City Hall and the Police Department. The existing fax at <br />City Hall is a thermal paper fax machine. The new technology <br />is plain paper. A plain paper fax will pay for itself in a <br />very short time if the time involved in copying the faxes and <br />the price of thermal paper versus regular paper is considered. <br /> <br />. <br /> <br />TAC Officer, Kathy Anderson, and myself have thoroughly <br />searched and studied the "fax market." The City received <br />quotes on eight fax machines. Three of these machines are <br />being considered for purchase. The reason for narrowing the <br />decision to three is because of the limited space area in the <br />Police Department to fit a fax machine and the "gray area" <br />which determines the clearness of the photos being received. <br /> <br />Please review the fax machine comparisons which are attached to <br />this memo. Staff is recommending the purchase of the Canon <br />which is the lowest in price of those being considered. Aside <br />from the cost factor, the other reason for recommending the <br />Canon is the cost per copy which is less than the Ricoh because <br />of the type of toner being used. The fax uses a toner <br />cartridge which eliminates the need to replace the drum. <br /> <br />RECOMMENDATION <br /> <br />Staff is recommending the purchase of two Canon L775 Laser Fax <br />machines at a price of $2,582.00 each. <br /> <br />. <br /> <br />720 Dodge Avenue N.W., Elk River, Minnesota 55330 (612) 441-7420 <br />
