<br /> <br />Request for Action <br /> <br /> <br />To Item Number <br />Mayor and City Council 4.6 <br />Agenda Section Meeting Date Prepared by <br />Consent September 4, 2018 Tina Allard, City Clerk <br />Item Description Reviewed by <br />Accept Bid and Authorize Execution of Contract Justin Femrite, Public Works Director <br />for Fabrication and Installation of Wayfinding Signs <br />Reviewed by <br />Cal Portner, City Administrator <br /> <br />Action Requested <br />Authorize, by motion, the acceptance of the bid and execution of the contract with Graphic House in the <br />amount of $497,010 to fabricate and install wayfinding signage in accordance with the Wayfinding Master <br />Plan. <br /> <br />Background/Discussion <br />In May of 2016, Council approved a Wayfinding Master Plan. In 2017, two Request for Proposals (RFP) <br />were sought and rejected for the fabrication and installation of signage. The first bids were not an apples- <br />to-apples comparison and needed to be clarified better for bidders. The second set of bids was more than <br />budgeted and Council requested to make further design changes in order to reduce costs. <br /> <br />There were 18 companies that downloaded the plans and Graphic House was the only respondent who <br />submitted a bid. With the two previous bid solicitations, contractors sometimes will stop putting work <br />into a bid if they are not confident it will be awarded. <br /> <br />Staff met with Graphic House and completed reference checks. Reviews for Graphic House were good. <br />The have completed work for health care companies such as Allina, and other cities, such as Brooklyn <br />Park. Staff is satisfied they will be able to complete the project according to our master plan <br />specifications. <br /> <br />If approved the project will start in October of 2018. <br /> <br />Financial Impact <br />This project is budgeted in the Capital Improvement Plan at $200,000 per year for three years with a total <br />budget of $600,000.
