ity of
ik
River MEMORANDUM
TO: Planning Commission
FROM: Tom Mesich, Plann' g ommission Chair
Michele McPherso irector of Planning
DATE: May 30, 2000
SUBJECT: Meeting Etiquette
Attached for your information is a one-page article entitled "Communication Tips
for Television". Since the Planning Commission meetings are now aired live over
Elk River Channel 12, we need to be aware of the fact that the public will be
watching our every move. "Tips for Television" will help you conduct yourself
during the meeting to the best advantage for the camera. In addition to what to
wear, the tips outline how to handle microphones and present information, and
also, to help each other remember to be heard. One tip that was not included on
the enclosed article was to not wear white. White shirts under a dark blazer or
• sweater are fine, but a white shirt or blazer on its own will tend to wash and glare
in the video environment.
We would also like to use this opportunity to ask the Commissioners to be
present at the meetings by 6:15 p.m. in order to ensure that a quorum will be
present and that the meeting can start promptly at 6:30 p.m. Often we have
students and the general public in attendance and it is good to set a proper
example of promptness and organization. If you cannot attend a meeting, or you
are going to be late, please call the staff prior to the meeting. Again, this is to
ensure that a quorum is present or, if one will not be present at 6:30 p.m., we can
delay the meeting to the appropriate time. This will also allow staff to
communicate with potential chairs, if the chair and vice-chair are not in
attendance.
Thank you for your cooperation in these matters. Having a smooth-running
meeting which begins on time will help to educate the public about planning
issues and developments that occur in the City.
•
S:\PLANNINGUVIICHMC\MEMOS\ETIQUETT.DOC
13065 Orono Parkway • P.O.
