W \4 Item #: 7.
ity of
ElkMEMORANDUM
River
TO: Park and Recreation Commission
FROM: Michele McPherso , 'irector of Planning
DATE: December 28, 1999
SUBJECT: Planning Retreat— Non-staff Agenda Items
Request
The Commission is asked to review policies/procedures for review of non-staff agenda
items.
Attachment
• Application Form, Volunteer Projects
• Submission Deadlines
• Analysis
In order to help the Commission review and evaluate volunteer projects, and perhaps
solicit volunteers and projects from the community, staff proposes to implement a
simple application process for volunteer projects. The application will ask the volunteer
for basic information about the project including where, when, how long to finish, is any
money from the Commission required, etc. (refer to attached application form).
The information will then be forwarded to the Commission at the next available
opportunity. Staff proposes a monthly deadline so that items can be presented in a
timely manner for both the Commission and the volunteer. Volunteers will also be
asked to present their project to the Commission verbally as is done now. The
application will serve only as support material for the Commission.
This application could be modified for community events in the parks.
Recommendation
Staff recommends that the Commission review the attached application form and
calendar, make comments or suggestions, and endorse the procedure for volunteer
projects/community events.
13065 Orono Parkway • P.O.
