MEMOlt NDUM <br /> <br />Item 5.1 2. <br /> <br />TO: <br /> <br />FROM: <br /> <br />DATE: <br /> <br />SUBJECT: <br /> <br />Mayor and City Council <br /> <br />Pat Klaers, City Admin~~_~ <br />February 23, 2004 <br /> <br />Update on City Hall Remodeling Project <br /> <br />Everything is still on target for the moving of city offices back into the remodeled City Hall <br />facility. Finance Director Lori Johnson has made arrangements with the moving company <br />for the move to take place during the last weekend of March. Actually, the move will begin <br />after work on Thursday, March 25, 2004 and should be completed by Monday morning <br />March 29, 2004. Staff will have to do a lot of preparation work prior to the moving company <br />coming in and after the moving company has left in order to set up our offices and the <br />general work areas for business. City Hall will be open for business on Monday, March 29, <br />2004 but we will be working around setting up our operations. <br /> <br />With this schedule and timetable, I recommend that the City Council authorize City Hall <br />offices be closed for business on Friday, March 26, 2004. The closing of city offices will <br />allow staff time to move general office material and equipment plus their personal office <br />items. This is appropriate as we really will not be able to conduct any business with the <br />public on that date. In fact, all things considered, it is appropriate that the public not be in or <br />around City Hall on our moving date. <br /> <br />One of the more significant remaining construction issues with the City Hall remodeling <br />project is the City Council Chambers. Most of the cable TV work has been planned to take <br />place after the contractors are through ~vith their work. In this regard, the contractors are <br />indicating that the City Council Chambers will be the last area to be completed and they may <br />still be doing some work in this area during early April 2004. This plan puts the City Council <br />meeting locations and schedule in limbo and we will have to remain flexible in April in terms <br />of when we go to our first-second-third Monday meeting schedule and where we ~vill be <br />meeting. Flexibility may especially be needed as we look at the annual report presentation <br />that is scheduled for April 12, 2004. It is important that this presentation get on cable TV <br />and hopefully everything can move forward as planned, but as ~ve get closer to April we may <br />have to reschedule the presentation.
