Records Management Policy <br /> It is the policy of the city and its staff to manage and protect city records to ensure <br /> continuous and effective service to the citizens of Elk River. <br /> Objectives of the Records Management Program are: <br /> 1. To protect vital records and provide the City with the ability to retrieve or <br /> reconstruct necessary data as needed. <br /> 2. To save space by destroying or removing from the office records which are no <br /> longer required in daily operations; and,by maintaining a regular and controlled flow <br /> of records from office to destruction, or from office to storage to destruction. <br /> 3. To save time in finding records by removing inactive records from office files; and <br /> by providing for orderly storage and indexing of inactive records. <br /> 4. To save money by minimizing purchase of expensive filing equipment; by providing <br /> inexpensive storage for inactive records and by reducing filing equipment through <br /> destruction of unnecessary records. <br /> 5. To protect the City in legal matters by complying with all applicable State and <br /> Federal guidelines for retention and destruction of records, thereby minimizing the <br /> City's risk. <br /> The cooperation of all city employees is vital to the success of the program. <br /> Joan Schmidt, City Clerk Date <br />
