TO: Mayor & City Council FROM: Lori Johnson, Finance Director DATE: June 24, 1998 SUBJECT: Telephone and Voice Mail Year 2000 Compliance Earlier this year the Council was made aware of the need for updating the city's voice mail system because of the manufacturer's recent decision to no longer support the current system after July 1. In addition to updating voice mail, there are some Y2K upgrades required for the phone switch. Both the voice mail system and switch where purchased and installed in March 1993, and both have functioned very well during that time. Attached are quotes for both required upgrades. The voice mail system will be completely new, but will function the same as the current system. The new AVT CallXpress3 Model 6 will have expanded features and will have the capability to handle our short term (five to seven years) future needs as well. The quoted price for the voice mail system is $9,594.54. There may be several deductions from this depending upon the amount of training required and any equipment that can be reused from the old system. At this time the only known deduction is for the modem. The Executone Switch (the actual phone system) quote is for $6,732.59. This will bring the system into compliance for 2000 but does not expand or add features to the current system. There is still room available to add 36 phones which should meet the city's needs for several years.
